Accounting Clerk- Genesee Country Village & Museum

Position: Accounting Clerk
Reports to: CFO
Primary Function: Provide accounting support
Hours/Status: 30 to 40 hours per week, non-exempt with potential benefits listed below based on P/T or F/T status.  
 
Overview: Genesee Country Village & Museum (GCV&M) is located in Mumford, NY and welcomes close to 100,000 visitors annually for special programs, private events, and daily admissions. The Accounting Clerk will administer GCV&M’s cash receipts process for all point of sale systems, including admissions, food, and retail services.  In addition, they will support development, accounts receivable, accounts payable, and other accounting needs.
 
Responsibilities:
Cash Receipts (70%)

  • Generate appropriate system reports from various systems, including point of sales, to record cash receipts.
  • Record all cash receipts received through the mail
  • Prepare bank deposits and record cash receipts received through the mail, online and on-site, based on transaction support
  • Count all daily cash bags collected from retail outlets across the Museum using cash/coin counting machines
  • Reconcile daily cash bags collected to cash register reports using the appropriate document and follow up with employees concerning cash bag overages/shortages
  • Maintain and organize all corresponding support material for reconciled cash bags
  • Prepare bank deposits
Accounts Receivable (10%)
  • Prepare invoices for field trips and other group events
  • Ensure accuracy and timeliness of the billing process
Accounts Payable (10%)
  • Review statements from various vendors and match to submitted invoices in accounts payable system.
  • Enter new vendors into ERP from Form W9 and track insurance certificates
  • Insure all vendor information is complete for 1099 processing
 
Other (10%)
  • Oversee credit card reconciliation and processing
  • Complete journal entries as needed
  • Assist with projects as requested
 
Qualifications:
  • 1-2 years of experience in an accounting office and performing similar level duties.
  • Knowledge of accounting processes and procedures.
  • Current hands-on experience with ERPs and accounts payable software, experience with SAGE Intacct preferred; comfort with working in a paperless environment.
  •  
  • Excellent knowledge of Microsoft Word, Excel, and Outlook.
  • Strong work ethic, and organization and communication skills
  • Desire to work in a relaxed office setting with various types of people and personalities.
  • Attention to detail and accuracy required.
